Government RFPs are a key part of our growth strategy, and our proposal system needs to reflect the quality, rigor, and credibility of the work we deliver.

About the Role

We are seeking a contract Proposify and government proposal specialist to help us modernize and optimize our proposal system.

Our current proposal templates were built in Proposify Legacy and have supported our work to date. As Proposify has released New Proposify (a platform rebuild rather than a simple editor update), our templates now require a thoughtful review and rebuild to ensure they remain stable, efficient, and competitive—particularly for government RFPs.

This role will work collaboratively with our internal team, including designers and proposal contributors, to evolve our system in a way that supports real-world proposal workflows and deadlines.

What You’ll Be Responsible For

Proposify System Review

• Review our existing Proposify Legacy templates and content structure
• Assess how current templates translate (or fail to translate) to New Proposify
• Identify opportunities to improve stability, usability, and reuse
• Recommend what should be rebuilt, refactored, or retired

New Proposify Template Rebuild

• Rebuild core proposal templates natively in New Proposify
• Architect templates with:
  • clear, predictable repeater usage
  • reliable variables and custom fields
  • simplified text box structures that support copy/paste workflows
• Ensure templates can be edited confidently by non-technical users

Government Proposal Optimization

• Structure templates to align with common municipal and public-sector RFP formats
• Support compliance-driven responses, including:
  • clear section organization
  • evaluator-friendly narratives
  • consistency across repeated RFP submissions
• Help ensure proposal output reflects credibility and professionalism expected by public agencies

Workflow & Reuse Improvements

• Improve efficiency when reusing and pasting narrative content
• Implement content library practices suited to long-form government proposals
• Reduce friction in day-to-day proposal production, especially under deadlines

What Success Looks Like

• Proposal contributors can work efficiently without fear of breaking templates
• Copying and reusing narrative content is predictable and low-friction
• Templates function reliably in New Proposify
• Proposal output is clear, compliant, and competitive for government evaluators

Required Experience

• Hands-on experience with Proposify (Legacy and/or New Proposify)
• Experience rebuilding, refactoring, or migrating proposal templates
• Direct experience with government, municipal, or public-sector proposals
• Strong understanding of compliance-driven proposal structure and workflows

Relevant backgrounds may include:

• Proposal Manager or Proposal Operations Specialist
• Government RFP Consultant
• Capture Manager
• Sales Enablement Specialist (public sector)

Engagement Details

• Contract role (project-based, with potential follow-on work)
• Remote
• Collaboration with internal designers and proposal contributors
• Project expected to begin with a review/audit phase before rebuild work
