Phase One: Discovery

Sitemap Overview

A sitemap is a flowchart that acts as a centralized planning tool to organize and clarify your site’s menu navigation to best optimize your visitors’ journey to obtain information.

Your project may have between 1-3 rounds of feedback. The process for submitting feedback is the same whether the first or third round, and is outlined below.

Who’s Involved?

Your point person consolidates and submits feedback. Broader stakeholder input is encouraged given the structural nature and importance of the deliverable.

The primary focus is the structure and placement of pages.

As we review, we consider:

  • Does the primary navigation and pages feel logically organized?
  • Does the navigation support and align with your content strategy?
  • Are all necessary pages addressed? If not, what is missing?
  • Where are there opportunities for condensing pages, or removing duplicates?

Before the assigned due date, review the sitemap link (provided to you by your PM) with your team members to compile and consolidate feedback from all necessary stakeholders, onto one document.

Be sure to provide clear, direct, non-contradictory feedback and questions, allowing for a smoother feedback review during our meeting. Please use page names in addition to the page item number when identifying potential changes. (“Please move the Service Directory from it’s current position at 2.4, to just under Government, 2.1.”)

The primary focus of your feedback should be on the structure and placement of pages. While reviewing the sitemap, consider the following questions:

⇢ Do the primary navigation, and pages feel logically organized?

⇢ Are all necessary pages addressed? If not, tell us what’s missing.

⇢ Are there any pages that aren’t needed and/or could be condensed?

⇢ Are there any pages that need to be more prominent?

For some clients, it is helpful to think of the following actions for pages which need change:

  • Move
  • Combine
  • Delete
  • Rename

The point person only will submit the consolidated feedback directly on your sitemap within slickplan.

  1. Select the page in Slickplan that you’d like to leave feedback on.
  2. Click the three dots in the upper right corner of the page box. This opens the info/files/feedback page metrics panel.
  3. Click Feedback and leave your comments in the box. You must press enter for your feedback to remain on the page.
  4. Tag your Project Manager in Monday.com by hovering over the top right corner of the status box of the task until the + sign appears, then type “@[project manager’s name], and select “Update”.
  5. Mark the task done in Monday.com once the feedback has been submitted.

Once all feedback rounds are complete and the structure is agreed upon, your manager will ask you to formally sign off on the sitemap. This approval confirms the navigational structure before design work begins.

Note of scope- in the future, minor changed can still be made. It is not uncommon to rename, combine, delete or add pages as we dig deeper into the process.
